Thank you for wanting to contribute to CPDL by submitting an edition of a public domain work or one of your own compositions. Please follow the instructions below.

This page in a nutshell (for full instructions, see below):
1. Upload file(s).
2. Right-click on blue link with your file name to find the URL (it will begin "http://www.cpdl.org/wiki/images/?/??/..." where the question marks are numbers or letters)
3. Copy this URL to a text file for later pasting.
4. Repeat steps 1-3 for any additional files - PDF, MIDI, music notation software, etc.

Please Note: since September 2013 you may perform steps 1 to 4 while filling the "Add works" form (step 6) through a link named "Click here to open a new window and upload files now" available on the form.

5. Run the "Add works" form.
6. Fill out the form. Be sure to include the URL(s) you copied to a text file in step 3 into locations labeled "Sheet music location" (for PDF), "Midi file", "Music notation file".
7. Submit the form - copy the posting output to your text file. Ignore the statement that the code will be "posted within 24 hours" - this is no longer true.
8. Try to add the code yourself based on the instructions on the output page. Alternatively, paste the output you copied to a post on the CPDL forums under the section "CPDL Support" and an admin will do the posting for you.


Introduction

Submitting a score to CPDL for the first time (and indeed subsequently) can be a confusing experience for some users. However, the process of score submission is not that complicated so anyone with basic skill at using a computer should be successful when using this guide. If for any reason you need help before, during or after using this guide, please leave a message on the forums and someone will get back to you.

Before you begin using this guide, it will be useful to do some research to obtain as much information about the composer and work as possible. Any extra information or links to websites that you can include on the score page or when you upload files helps users who want to know more about the work. Also, it is wise to keep electronic copies of the scores you will be submitting and any code which is produced using the add works form (see below) just in case your submission does not go through properly.

Uploading files

Upload page

I. Upload the file(s) to CPDL by clicking on "Upload file" under "toolbox" on the left side of all CPDL pages.

N.B. It is very much preferred that contributors upload their editions of public domain works to the CPDL server rather than hosting them externally. This is to avoid broken links in the future. However, files on external sites are still welcome on CPDL. If your score files are already stored on an external server, skip this step.

  1. Click "Upload file" under the "toolbox" menu which is on the left hand side of every page. The special page titled "Upload file" will appear.
  2. Click on the "Browse" button. Navigate in your computer's file system till you can pick the file to upload. In Windows you would click to select the file then click "open".
  3. When you have picked the file it automatically appears in the "Destination filename" box. A standard convention on CPDL is to have the file name as follows: "[composer's surname]-[work title]". For example, the upload of a PDF file of a villancico by Francisco Valls, "Alegres mudanzas" would have the following filename: Valls-Alegres mudanzas.pdf. Be sure to only use alphabetic and numeric characters (hyphens, spaces and underscore are also permitted). If there is already an edition of the work you are uploading, it is possible that the filename that you enter will be the same as an existing file; if you receive a warning informing that another file is about to be overwritten, do not proceed (unless the file being overwritten is an old version of your own edition). Please change slightly your file name, for example by adding a number at the end of it: Valls-Alegres mudanzas-2.pdf
  4. In the "Summary" box type in the description you would like added to the upload log so our admins will know what it is you are uploading - eg. "Midi file for Mozart's Ave Verum". It is also helpful to mention your choice of copyright for the file. This may be "Copyright assigned to CPDL" or "Personal copyright" (these are two common choices). If no copyright is mentioned in the description or on the score, it will be assigned the CPDL copyright. Please also mention the source of your edition, eg. "Johannes Brahms Soliche Werke, vol. 21".
  5. Then click the "Upload file" button - your score should upload. If you see a warning with regards to file size, simply click "Save file - Ignore warning and save file anyway".
  6. You will see a page with heading "File:[your filename]" eg. "File:Valls-Alegres mudanzas.pdf" and under the heading you see:
    Valls-Alegres mudanzas.pdf (file size: 67KB, MIME type: application/pdf)
    (your name and file size will be different). The filename will be a hyperlink to the file you just uploaded. Write down the file size (in this case, 67KB), and the file name (in this case, Valls-Alegres mudanzas.pdf).

II. Repeat this above procedure (1-6) for every file (PDF, MIDI, etc.) you want to make available on CPDL.

Adding a new composer page (optional)

Skip to the next title, "Adding new edition information" if you want a CPDL admin to add your new composer.

III. Check if the composer of the work you want to add is already listed on CPDL.

  1. On the left hand side of all CPDL pages is the navigation menu. From it, click on "Composer pages".
  2. Click on the letter of the alphabet that your composer's surname begins with.
  3. Find your composer's name in the list which appears below the title "Articles in category "Composers""
  4. If your composer is there, note the exact spelling, special characters, etc. of the composer's name - open a text file and cut and paste name in if it helps - you will need the exact name later. The composer "A. V. Nikolsky" would need to be typed exactly as shown - periods, spaces, etc. Any composer name with special characters (umlauts, accent graves, etc.) may need editing later - check for this.
  5. If your composer's name is not listed you need to create a composer page first. If your composer is listed, skip to "Adding new edition information" below. Please double check that your composer is not listed before creating a new page. A composer with a name like Ludwig van Beethoven may erroneously be listed under "v" rather than "B" (though this example isn't).

IV. Create a new composer page.
Note: composers are listed automatically on the category page that you have just viewed. It is not possible to add composers to the category page by editing the page itself but rather by adding the category "Composers" to the new composer page (this is explained further below).

  1. Here is a template for a new composer page. With the cursor, drag to select all the text in the typewriter font on the page and copy it to the clipboard (shortcut is Ctrl-C in Windows).
  2. In the search box on the top-right side of the page (the position may be different depending on the MediaWiki skin you selected - this is the position for the current default skin, named "vector"), type your composer name and click "Go". Please make sure that you spell the composer name correctly including any accents or other special characters, also with the correct capitalisation.
  3. You will see the following at the top of the next page that appears:
    There is no page titled ":Your Composer". You can create this page.
  4. Click on the red link which reads "create this page" to open a new page which should have your composer as the title.
  5. Click anywhere in the large edit window, and then type Ctrl-V to paste the text that you copied from the template above.
  6. Edit in the specifics of your composer you are adding into your copy of the Composer Template file. The items that you should change to the appropriate values for the new composer as follows:
    • "Born" and "Died" - as much detail as you can provide, eg. "1 August 1934" though just a year of birth and death if nothing else.
    • Any biographical information that you can provide (if copied verbatim from a source, please add a reference or if you have consulted many sources, please list these too).
    • Any publications and external links should be listed as a bulleted list by typing an asterisk ( * ) at the beginning of the line.
    • Replace the values "yyyy" in the birth and death categories with the years of birth and death of the composer (without month or day).
    • Replace the word "Era" with one of the following:
      • Medieval
      • Renaissance
      • Baroque
      • Classical
      • Romantic
      • Early 20th century
      • Modern
    • Replace the word "Nationality" with one of the following (or another if appropriate - the new category will be created):
      • American, Austrian, Bolivian, Brazilian, Bulgarian, Catalan, Croatian, Czech, Danish, Dutch, English, Flemish, Franco-Flemish, French, German, Hungarian, Irish, Italian, Macedonian, Mexican, Norwegian, Peruvian, Polish, Portuguese, Romanian, Russian, Serbian, Scottish, Slovenian, South Netherlandish, Spanish, Swedish, Swiss, Ukrainian, Venezuelan, Unknown nationality
  7. Click on the "Show preview" button to see what your page will look like. Fix any typos, click "Show preview" again and repeat as necessary until you are happy. If the page doesn't appear as you expected and you can't work out why, simply move the cursor to the bottom of the window and type {{Cleanup|Your problem here}} where the text "Your problem here" is the actual problem. Someone will come along and sort out the page.
  8. When you have finished, type an appropriate edit summary in the box (such as "new composer page"), then click "Save page" to add your composer to CPDL Wiki!
  9. Click again from the "navigation" menu select "Composer pages". Check that your composer is listed there and click on your composer's name to go to the new composer page you just added.

V. Send CPDL the specifics of your submission (info about files you uploaded) and generate the code which you will add to the composer and score pages.


Please Note: since September 2013 you may upload files (see above) during this phase through a link named "Click here to open a new window and upload files now" available on the form. The system will automatically attempt to identify the URLs and file types that you uploaded and fill the form accordingly, so you may not need to cut-and-paste URLs and enter other information (page number, file size, page size, music notation program - see table hereafter) as the system might be able to fill the appropriate fields automatically. Just check that the system identified URLs, file types and other data correctly, and update them if necessary.


  1. On the navigation menu (on the left hand side of all CPDL pages), click on "Add scores to CPDL"
  2. Click on the link "Add Choral Work, or New Edition".
  3. You will see a page with heading "Add Work/Edition" which contains an HTML form you will need to fill out to submit your scores to CPDL. Below is a list of the elements of the page with explanatory information:


Description Explanation Required?
Title of work The work title. Capitalize only the first letter and any proper nouns, eg. "The Lord Christ comes quickly". Include the opus number in this box in the following format: Work_title,_Op._n,_No._n or Work_title,_Op._n (where the underscores are spaces and "n" is a number) Required
Name of composer (First_name Last_name) Use the exact name that appears on the composer page, with the same amount of spaces, also including any special character(s) Required

Voicing (i.e. SATB) Type the voicing. Use the abbreviations "S", "A", "T", "B" for Soprano, Alto, Tenor and Bass. For Baritone, use "B" and for Treble, use "S". In the case of more than one choir, use a period to separate them, eg. "SATB.SATB" Required

Language Select the language of the work's lyrics from the drop down menu. Required

Copyright type Select "CPDL" to licence your edition under the CPDL licence, select "Personal" to retain copyright yourself, or edit specifics of terms of use of score eg. "for religious purposes only". Required
External web links Enter appropriate links for the work in question, if you know of any. Optional
Your email address Enter your email address where we should direct questions about this upload or notify you about your file's posting. This may be the same as the address you gave above. It will not be included in the page code and will remain private. Required


Example code produced by the add work form


Now, if the form is complete, click on the button marked "Add works data" at the bottom of the page to submit the form. The code will be produced and displayed on the next page. It may be useful to copy this code output to a text file for future reference.

Please note: if you receive an error message when you submit the form which reads "unable to insert into table", this is because you have not followed the instructions at the top of the form which reads "If you use an apostrophe, you must use a backslash before it, or the program will not work correctly." Click the "back" button in your browser and add backslashes before all the apostrophes. The form should submit properly now.

Proceed to the next step to post the work on the wiki. If you don't continue, your submission will be added by a CPDL admin at a later date. This will usually be within a week of submission but it may take longer depending on the admins' free time (we're all volunteers here). Please do not submit the form more than once for the same edition unless you have been advised to do so by an admin. This is important because a unique CPDL number is generated each time the form is submitted and this number becomes obsolete if the form is run a second time for the same edition - please be patient and wait for your edition to be posted by an admin. If you forgot to include some information in the form the first time you submitted it, please email "addscore (at) cpdl.org" with the details rather than submitting the form again. Thank you.

Adding the wiki code for a new edition (optional but recommended)

Incorporating the add work form generated text into your new work page and the composer page.

1. As instructed in the generated text from the add work output page, copy the single line of code which begins *''[[Work title (Composer Name)|Work title]]'' (where "Work title" and "Composer Name" are the names that you entered). You may need to scroll horizontally to select the whole line of text (make sure that you do this if necessary).
2. Paste it into the composer page. Most composer pages are simply a list of links to works in alphabetical order but some are organised by genre and a small minority are organised by opus or the appropriate catalogue number. It should be obvious where your new work listing should be placed but if you are unsure, leave a message on the forums or type {{Cleanup|"Description of the problem/issue here"}} at the bottom of the page.

This guide now splits into two parts depending on the situation of your work on CPDL. If your edition is the first edition of the work to be submitted to CPDL, you will need to make a new works page - follow the left hand column, "a". If your new edition is not the first edition of the work to be submitted to CPDL, then there will already be an entry on the composer page - follow the right hand column, "b".

Adding the composer entry code
3a. Paste the code that you copied in the previous step into a new line at the appropriate place on the composer page, then, type an appropriate edit summary in the box at the bottom of the page and click "Save page". 3b. Move the cursor to the end of the score entry which already exists. Below is an example of the code:

Now delete the code which is coloured red in the example above. Next, type the following text: "{{editions|n}}" where n is the number of editions that will be available on the score page including yours. In the example above, the resultant code would be:

Adding the works entry code
4a. Now, make a new works page for your work, by clicking on the newly made red link on the composer page. When the new page appears, go back to the original output of code from the add work form and select all of the code from "==Music files==" to the last line which would be something like "[[Category:Romantic music]]". Now paste the code into the new page. Press the "Show preview" button to see what your page will look like, fix any typos and click "Show preview" again until you are happy with the new works page. Now type an appropriate edit summary and click "Save page" to save the new works page on the CPDL Wiki. 4b. Add your edition information to an existing works page. To do this, click on the link on the composer page corresponding to the work page you want to add your edition to. When the works page comes up, click on the "edit" tab at the top of the page. At the top of the page will be the following code: "==Music files== {{Legend}}". Below this, leave an empty line then copy and paste the edition information only from the code produced by the add work form. The edition information is the code which begins "*{{NewWork|yyyy-mm-dd}} '''CPDL..." and ends :'''Edition notes:'''. Click "Show preview" to see what your page will look like, fix any typos, click "Show preview" again until you are happy with the work page you are modifying. Then type an appropriate edit summary in the box then click "Save page" to save your modified work page on the CPDL Wiki.
5. Return to the composer page. Test the new link from the composer page by clicking on it. You will see your new works page or your new edition on an old works page.
6. If your works page is new, check the categories at bottom of page for broken links. Broken links on a wiki appear as red rather than blue. There will be one category link that is and should be broken. This category will be in the format yyyy-mm-dd, today's date. If there are any other category links or other links which are broken, please try to fix them if you believe that you have made a typing error. If you believe that the spelling is correct, however, edit the page and at the top type the following: "{{Cleanup|reason}}" where reason is "link to category not yet created" or "link to page not yet created". Save the page with the "Summary" box containing the following text: "Page needs cleanup".
7. Try each link for the files that you have added, such as PDF, MIDI and notation file to ensure that they point to the appropriate file. If any of the links are broken, try to fix it but if you can't, use the cleanup template as explained in the previous step to alert an admin to the error.

Help if you can't complete these instructions

"I give up! I'm a musician, not a computer scientist! All I wanted to do is post my %^$%#$ score. What ever happened to the old CPDL site?" (and similar frustrations)

  1. Computers can be very frustrating. Take a deep breath -- we at CPDL can add your scores for you.
  2. Log into the CPDL support, help, and feedback. (You must have a CPDL.org login and be logged in to post messages.)
  3. Click on General topics, then click the Edit link to the right of General Topics to post your request. Indicate the subject of your request, such as Please Upload My Score. Paste into the big text box the URLs of your uploaded files, or your remote website file URLs. Include the code created by the add work form if you are able to do so.
  4. An admin will do all the posting work, and leave a reply below your posting to let you know it's done.
